Team purchasing routes

Custom jersey design for different buying programs

Start with the program the jersey serves. A club roster, a retail assortment and a cycling event may share a design, while requiring different fit approval, naming, quantity and replenishment decisions.

Build the request around the buyer

Teamwear purchasing board with garment size and artwork decisions

Club roster: individual identity, shared approval

State whether each player receives one jersey or a set, and give the name, number and size list using a controlled revision. In a planning example, 24 player pieces plus 6 spares means 30 pieces, not 30 sets. This is arithmetic for a buyer brief, not a stock level or minimum order. Confirm which variants have a surcharge and how roster corrections are handled before production approval.

Retail program: pack ratio and label ownership

Map the size run and colorway split to cartons. Ask for fiber content, fabric weight in gsm, country-of-origin and responsible-party label details where applicable. An attractive display sample may not represent the full size grading. Keep a size chart in cm or in and review actual measurement points before accepting the proposed assortment.

Cycling event: fit and configuration scope

Specify fit preference, sleeve and zipper construction, pockets and intended use. Identify whether sample review is for appearance, dimensions or both. Require supplier confirmation of the proposed material and construction; a performance phrase alone does not establish moisture handling, stretch recovery or colorfastness.

Two decisions that need explicit trade-offs

Unit price versus complete scope

A lower quote can be useful when the buyer accepts a simpler decoration or pack. It becomes misleading when compared against individual naming, labels and delivered freight. Ask both suppliers for the same quantity and pack ratio, then list artwork setup, sample work, carton dimensions and destination charges separately. No unstated line should be entered as zero.

Design fidelity versus approval flexibility

A fixed artwork and material brief narrows acceptable substitutes. A flexible budget brief may allow alternate construction or decoration, provided the buyer approves the change. Record the changed attribute and sample revision. Family-level certificates, generic textile reports and photographs are not evidence that every offered jersey meets the buyer's requirements.

Use the comparison checklist for commercial review, the sourcing method for supplier questions and the procurement article for document notes. Availability and timing remain subject to supplier confirmation.
